Job Description
The Generalist Employee Processing is responsible for a variety of Pre-Employment and Employee functions. Duties pertaining to applicants include Pre-check and Re-hire review initiation processing and monitoring, initiation and monitoring of drug and fingerprint results for candidates. Duties pertaining to Employees include Onboarding Training for GO at HDQ, I9 capture and Equifax entry, employment verification processing. The file room responsibilities include maintaining the Southwest Airline Employee personnel file room, file room request processing, coordinating with offsite storage vendors, and managing the ongoing destruction of inactive files.
Your main responsibilities in this role include the following:
Duties and Responsibilities
Process I-9 employment verification by gathering the necessary documentation, inputting identification information into the E-verification system, and troubleshooting errors or inconsistencies to ensure timely compliance with I-9 regulations
Facilitate effective and engaging Onboarding presentations by informing newly hired Employees of our values, culture, and benefits in order to set them up for success
Merge duplicate applicant accounts by partnering with Technology in order to mitigate potential errors in a timely manner
Effectively work in the applicant tracking system
Facilitate the Pre-check and Re-hire review process and track in the Applicant Tracking System
Process request for Employment Verification and lost wages information
Initiation and monitoring of drug and fingerprint results for candidates
Coordinate file destruction by pulling destruction lists, verifying which files are subject to retention, coordinating with Legal and Leadership for review, and providing the final approval to the offsite storage vendor in order to dispose of the necessary files.
Serve as a liaison between Southwest and the offsite storage vendors by coordinating the timely pick up and drop off of documents and providing consistent communication to ensure the quality and integrity of the storage process.
Act as the point of contact for Company-wide offsite file storage by responding to questions file storage policies, procedures, and processes in order to educate internal Customers
Oversee the presence of the file room by managing files coming in and going out, ensuring proper placement, reorganizing files, and enforcing adherence to the filing system in order to maintain a tidy appearance at all times.
Develop, maintain, and coordinate appropriate inventory systems to checkout files and track persons responsible for the files, the fail status, and the file location in order to ensure document quality and security control.
Oversee offsite storage requests by boxing files, placing pick up/retrieval orders from the vendor, retrieving filled boxes from various Departments, and confirming boxes are correctly labeled to ensure proper storage
File confidential records by compiling Employee documents, identifying missing or incorrect forms, and placing completed packets in the appropriate order to ensure proper storage

Job Requirements
High School Diploma or GED
Bachelor's Degree or equivalent work experience
4 Years Human Resources Experience in lieu of Bachelor's Degree
Preferred Experience in iCIMS preferred
Ability to lift, carry, and push up to 75 pounds
Ability to bend, twist, stoop, turn, reach and climb
Ability to travel long hallways in large buildings and in between campus buildings
Ability to carry office items and lift to shelving over five feet
Ability to use a computer and other office productivity tools with sufficient speed and accuracy to meet the demands of the job
Knowledge of all aspects of Company structure, operating philosophy, policies, and procedures
Strong computer skills including the use of Microsoft Office Suite, email, and web browser
Ability to deliver high quality work, paying close attention to details
Must meet confidentiality expectations as to confidential, proprietary, and sensitive Company information
