    Under limited supervision, operate computers to input data into files and databases. May undertake more complex tasks where necessary. Use independent judgment to provide timely and effective administrative support to an office, business unit, department, or other organization group. To coordinate and administer a variety of programs and activities covering multiple HR and Administrative activities. Assists more senior professionals to coordinate and administer a variety of programs and activities covering multiple HR activities.


    Duties and Responsibilities

    Your main responsibilities in this role include the following:

    • Type in data and codes required to process information

    • Retrieve, confirm and update data in storage

    • Maintain records of data input

    • Maintain logs of messages to and from computers

    • Observe screens to detect malfunction

    • Operate equipment within prescribed standards

    • Detect errors by the use of verifying procedures and make changes as instructed

    • May transcribe data from source material into computer-compatible format

    • Answer telephones, screen calls and take messages from external or internal sources so that callers/visitors are dealt with promptly, courteously, and accurately

    • Respond to more complex or escalated enquiries from other administrative staff

    • May have access to the email accounts of staff supported to schedule their appointments and answer or redirect routine enquiries from internal or external sources

    • Accurately transcribe, type, format, and proof read a wide variety of material (for example correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics and spread sheet software

    • May use desk top publishing software to design more complex documents. Coordinate internal and external meetings so that they run smoothly. This includes scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available, for example equipment, food, and drinks

    • Perform other administrative tasks using independent judgment and discretion.

    • Plan, organize, and schedule own workload so that these activities are completed accurately and on time. These activities may include preparing documents and presentation materials.

    • Screening and responding to incoming correspondence, inquiries, and phone calls

    • Drafting letters and official information releases; arranging and attending meetings

    • Taking and distributing minutes.

    • Coach and mentor less experienced administrative staff.

    • Help desk staff to help them resolve problem

    • Manage the reception desk (answer phone calls, direct employee appointments)

    • Filing

    • Manage the ordering, tracking and distribution of the Company uniforms for employees.

    • Maintain and order supplies as needed

    • Other Administrative duties, various tasks and projects as may be assigned

    • Coordinate, assist and process new hire and renewal's application for Airport authority ID badges

    • Assist with filling, collating, and copying as requested

    • Process employment verification request for internal and external parties

    • Preparation of hiring package for the selected candidates

    • Process the background checks and 5 years’ verification

    • Administer and process drug test for new candidates

    • Schedule new hires for fingerprint and new employee orientation

    • Process parking vouchers for employees

    • Termination process including receiving uniforms, IDs and parking tags

    • Other tasks as assigned by the Department Manager


    Job Requirements

    • One to four years of experience

    • High school Diploma or equivalent

    • Organized with attention to detail

    • Have excellent verbal and written communication skills in English

    • Have professional phone etiquette

    • Self-driven and have high energy levels

    • Positive attitude towards work challenges.

    • Personal and professional integrity of the highest order

    • Up to 1 year HR and/or administrative experience

    • Computer literate (Outlook, Word, Excel, PowerPoint)

    • Excellent interpersonal skills with professional phone etiquette

    • Ability to work under pressure

    • Ability to multi-task and work effectively in a fast-paced environment

    • Demonstrated ability to innovate and support change

    • Attention to detail, timeliness and deadlines

    • Ability to follow processes and procedures

    • Organized
